1. Using Kwota
By creating an account you agree to these terms. Kwotais a tool for creating quotes, timesheets and invoices — you're responsible for the accuracy of what you send to your clients, including GST treatment.
2. Your account
You're responsible for keeping your login secure. One account is intended for one business — let us know if you need to add team members.
3. You contract with your clients — not us
We provide quoting and invoicing tools only. We don't guarantee your work, hold client money, or issue refunds for jobs between you and your clients. When you send a quote or invoice, you are supplying goods or services to your client under your own business name. We are not a party to that trade.
4. Fees & billing
Kwota is $10/month ex GST, billed monthly to the card on file. Billed in NZD. GST (15%) may be added at checkout if applicable — check with your accountant.You can cancel anytime from Account & billing — no refunds for partial months.
5. Card payments (optional)
- Clients pay you directly when they use card payment — not us. You handle refunds and disputes for the job.
- Card payment is opt-in per quote or invoice when you tick “pay by card” at creation time. You must set up card payments in Profile first.
- You pay Stripe's card processing fees. We don't charge extra on client card payments.
- Refunds, chargebacks, and payment disputes for job payments are handled on your Stripe account. We do not issue refunds to your clients for work performed or not performed.
- Paying by card accepts the quote straight away. Refunds and chargebacks are your responsibility.
By connecting your card payment account you confirm: I understand clients pay me directly for card payments, that I'm responsible for the work, refunds, chargebacks, GST on my sales, and any disputes with my clients.
6. Tax (New Zealand)
You are responsible for GST registration, GST on your sales, IRD reporting, and correct tax invoices. The app helps you display GST and IRD details you enter — it does not provide tax advice. Confirm treatment with your accountant.
7. Acceptable use
You must not use the service for restricted businesses or products prohibited by Stripe or New Zealand law. You must only offer instant payment for genuine NZ business between parties you know. We may suspend accounts that breach these terms or Stripe's policies.
8. Your data
Your quotes, invoices and contacts belong to you. We don't sell client data. For questions about what we collect and why, contact support@headchef.co.
9. Cancelling & deleting your account
Cancel anytime — your documents stay downloadable for 30 days, then are permanently deleted.
10. Liability
Kwota is a document and payment tool, not tax or legal advice. You remain responsible for your own tax obligations to Inland Revenue and for your trade with your clients.
11. Changes to these terms
We'll email you if these terms change in a material way, with at least 14 days' notice before they take effect.
12. Support
For help with the app contact support@headchef.co. For payment disputes with your clients, direct them to you as the supplier.
