Invoicing
Invoicing without
the spreadsheet rebuild
Most sole traders get paid by bank transfer — then rebuild the same invoice in Word every time. Kwota saves your clients, numbers your invoices, and lets you mark bank transfers paid in one tap.
How it works
Built for sole traders, not spreadsheets
From accepted quote or scratch
Start from an accepted quote with line items already filled in, or create a one-off invoice for a quick job. Your logged timesheet hours roll in too.
Built for bank transfers
Your bank details sit on every invoice. When the money lands, mark it paid — or let your client mark the transfer from the invoice link.
PDF and share link
Send the invoice link or download a PDF. Clients see the same clean document you do — professional, not a login screen.
Optional card payments
Turn on pay-by-card per invoice when you want it. Standard Stripe processing fee applies — no markup from us.
Xero CSV export
Export one invoice or a bulk range as Xero-compatible CSV. Use Kwota for sending; keep Xero for the books if that's your setup.
Questions
Common questions
My clients always pay by bank transfer — does this work?
Yes — that's the default for most sole traders. Your account number is on the invoice, and you mark it paid when the transfer arrives.
Can clients mark their own payment?
Yes. From the invoice link they can mark a bank transfer as paid, and you get notified either way.
Do I need Xero?
No. Kwota works on its own. If you do use Xero, export CSV when you're ready — no double entry required.
Any fee per invoice?
No. Unlimited invoices are included in the $10/month ex GST membership.
